How to Reply to a Bad Google Review

By Insha · 4 min read

30 second summary: Stay calm, thank them, own what you can, and move it offline. You are really writing to the next customer who reads it.

Remember who you are writing for

The unhappy customer may never come back. The people reading your reply will. A calm, kind answer builds more trust than a five star review does.

The 4 step reply

  1. Thank them for the feedback.
  2. Acknowledge what went wrong, without arguing.
  3. Offer to fix it and give a direct contact.
  4. Keep it short. Three or four sentences is plenty.

Examples to adapt

Hi Sam, thank you for telling us. We are sorry the wait was longer than it should have been. That is not the standard we want. Please email us at the address on our profile so we can put it right.
Thanks for the honest feedback. We are sorry the work was not what you expected. We would like to look at it again. Please call us and ask for the manager.

If the review looks fake

If it is from someone who was never a customer, or breaks Google’s rules (spam, offensive content, conflict of interest), you can flag it for removal from your profile. Meanwhile, a polite reply still helps.

What not to do

  • Do not argue or blame the customer.
  • Do not share private details.
  • Do not reply when you are angry. Wait an hour.
